 Job Purpose:

The Finance & Procurement Assistant will be responsible for managing the administrative, financial, and logistical aspects of the IT department's procurement lifecycle. This role acts as a vital liaison with the Procurement and Finance departments, ensuring timely processing of purchases, accurate tracking of licenses and renewals, and proper financial reporting. Additionally, the coordinator maintains the IT department’s budget, tracks spending against forecasts, and supports financial planning.

Key Responsibilities:

Procurement Management:

• Liaise with the Procurement Department to initiate and process all IT-related purchases.
• Ensure timely approval and issuance of Purchase Orders (POs) and track their status through delivery and invoicing.
• Maintain a comprehensive procurement tracker, logging all purchases with relevant metadata (vendor, cost, department, etc.).

License & Contract Administration:

• Maintain a centralized and up-to-date register of all IT licenses, subscriptions, warranties, and contracts.
• Monitor expiry dates and initiate timely renewal or cancellation processes.
• Coordinate with internal stakeholders for renewal decisions and budgeting implications.

Budget Management & Financial Oversight:

• Maintain and update the IT department’s budget, including forecasts and actuals.
• Track all IT expenditures against budget allocations and provide monthly reporting.
• Flag budget variances and assist in reforecasting exercises when needed.
• Ensure correct classification of spend (CAPEX/OPEX) and assist Finance in amortization planning.
• Provide cost breakdowns and support financial analysis for business cases and IT initiatives.

Documentation & Compliance:

• Ensure accurate record-keeping for all procurement and financial transactions (e.g., POs, invoices, contracts).
• Support compliance with internal financial controls and audit readiness.
• Maintain asset and inventory records, and ensure they align with purchase and budget data.

Key Skills & Competencies:

• Strong organisational and administrative skills with excellent attention to detail.
• Basic understanding of procurement and financial processes.
• Proactive and capable of handling multiple priorities simultaneously.
• Effective communication and stakeholder management skills.
• Proficiency in Excel and experience with ERP, budgeting, or procurement systems.

Qualifications & Experience:

• Diploma or Degree in Business Administration, Finance, Procurement, or a related field.
• Minimum 2-3 years of relevant experience in a procurement, finance support, or budget coordination role—preferably within an IT or technical department.
• Familiarity with CAPEX/OPEX classification and license management is an asset.

Our client is recruiting a Credit Control Assistant.

About the role

Reporting to the Credit Controller and will be responsible for chasing/collecting outstanding debt from clients, processing the payments/allocations and reconciliation of accounts.

Responsibilities

• Assist in debt collection - direct clients, agents and brokers
• Process payments received - cheques/internet banking
• Update cheque tracking system
• Monitor/process and upload standing order/direct debit
• Ensure timely input in AS400
• Allocate payment received from Brokers, follow up on overdue premiums and ensure that payments are received and perform quarterly reconciliation.
• Monitor the timely sending out of reminders/‘Mise en Demeure’ and follow up for unsettled accounts
• Attend to customer’s queries - including banks, agents and brokers - in a timely manner and handle any dispute
• Process payments received and ensure that they are lodged promptly
• Follow up on credit restrictions
• Prepare and dispatch Statements of Accounts
• Prepare dossiers for cancellation of policies and Loans and Default client’s cases to be referred to Attorney orCommissioner for protection of Borrowers. Liaise and follow up on cases already referred.
• Contact customers, agents, banks or brokers for outstanding payments. Arrange for appointment to discuss/set up repayment plans. Record arrangements.
• Prepare monthly reports when required
• Regularly carry out the maintenance of files on the computer system

 Candidate’s Profile

• Higher School Certificate (HSC) or equivalent (Mathematics and Accounting at principal level would be an advantage)
• At least 2 years’ working experience in a similar position
• Fully conversant with MS Office Tools (Word, Excel and PowerPoint)
• Outgoing personality, with excellent oral and written communication skills
• Be a good team player
• Good planning and organisation skills
• Be able to work under pressure

Your responsibilities will include:

• Drafting financial statements for clients
• Auditing computerised accounting records prior to the preparation of FS
• Reviewing minute books, statutory records, trust documents and correspondence files ensuring KPIs and targets are met
• Liaising with auditors to facilitate their work and requirements
• Maintaining a sound technical knowledge of our computer systems

Your qualifications and skills include:

• At least 5  years of accounting experience preferably in a Trust environment
• knowledge of Guernsey's and Mauritius' regulatory environment
