Our client is recruiting an Administrative Assistant
Job Summary: We are seeking a detail-oriented and organized Administrative Assistant to manage our reception and ensure the smooth running of our client’s office. The ideal candidate will handle a variety of tasks including taking calls, organizing meetings, ordering stationery and consumables, managing staff records, and supporting the Director in the office administration including company’s car management.
Key Responsibilities:
- Reception and Office Management:
- Answer and direct phone calls
- Welcoming office visitors
- Organize and schedule meetings
- Liaison with service provider for office cleaning.
- Enforce office protocols and policies
- Stationery and Consumables Orders:
- Maintain inventory and place orders as needed
- Staff Records Management:
- Record and manage staff leaves and travelling details
- Director's Support:
- Coordinate car servicing and manage insurance renewals
- Administer company’s medical renewals and claims
- Directory Maintenance:
- Update and review office, supplier, and contractor directories
- Support to personnel:
- Provide administrative support to the QS & assistants to QS in their day to day duties, including assistance to tender preparation and it management.
- Invoicing and Filing:
- Prepare and manage invoicing including follow up payments
- General filing and document management
- Submit and reconcile expense reports & liaison with company’s accountant
Requirements:
- Proven experience as an Administrative Assistant or in a similar role
- HSC/BAC
- Proficiency in MS Office (MS Excel and MS Word, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Excellent written and verbal communication skills
