Job Description

Committed to innovation, sustainability, and excellence, our client, Alteo Property Cluster, is seeking a highly skilled and experienced professional to join their team as the Sales Administration Lead for the Property cluster of Alteo.

Working closely with the Property Executive - Commercial of the Property Cluster and the sales team, the selected candidate will play a pivotal role in overseeing and managing the administrative aspects of the sales function.

The candidate will be responsible for ensuring the smooth operation of sales processes, coordinating with various departments, and ensuring that administrative and legal requirements/procedures are strictly followed.

KEY RESPONSIBILITIES

  • Manage sales reports and sales documentation, both for the ongoing sales effort and for the launch of new developments.
  • Follow up and monitoring of the buyer’s due diligence process with the sales and compliance teams.
  • Prepare agreements such as: reservation contracts, broker & connector agreements and resale mandates, and relevant coordination between the parties.
  • Follow-up and liaise with the different stakeholders (authorities, banks, notaries, other internal departments) during the process of buyers’ reservations up to legal completion, and handling of the relevant buyers’ files and monitoring sheets.
  • Post-closing - follow up/process: claims, residence permits applications, photographic reports, handing-over preparation.
  • Assist on project launch, for the preparation of required documents and guidelines.
  • Follow ups and updates of the CRM system as and when required.

QUALIFICATIONS

  • BAC / HSC + 3 minimum (e.g. Business Studies, Administration & Management, Sales & Marketing, Law) + at least 5 years work experience, preferably in a sales administration position for a property developer/real estate agent
  • Proactive, organised and dedicated.
  • Enthusiastic, self-motivated and quick learner
  • Good administrative and computer skills (Excel, Word and Powerpoint)
  • Standard driven and detailed oriented, focused on providing consistently high level of services.
  • Excellent written and verbal skills (English and in French)
  • Ability to work under pressure and to deliver on time.
  • Knowledge of (i) real estate property transaction agreements, (ii) CRM systems and (iii) the IRS/Smart City guidelines would be a definite advantage.
